About the Role
The Office Administrator plays a key role in supporting the daily operations of our Berlin office. This position provides general administrative support to the Berlin team while also managing centralized travel coordination for colleagues across our Berlin, New York, and London offices. The role also supports the smooth running of the Berlin office by coordinating premises and facilities needs, liaising with building management and service providers, and assisting with a range of day-to-day administrative and organizational tasks. In addition, the Office Administrator may serve as a point of contact for clients and visitors, supporting reception coverage, appointment scheduling, and general client communications to ensure a professional and welcoming experience.
Key Responsibilities

Provide general administrative support to the Berlin office, including answering phones, responding to emails, and greeting visitors

Coordinate schedules and appointments, including meetings, deliveries, and internal bookings

Manage centralized travel coordination for colleagues across the Berlin, New York, and London offices, ensuring bookings follow established travel policies and escalating exceptions to management when necessary

Maintain organized digital and physical office files, records, and documentation

Serve as a point of contact for visitors and clients, supporting reception coverage, appointment scheduling, and general client communications

Coordinate premises and facilities needs, including liaising with building management, service providers, and vendors to ensure the office environment runs smoothly

Ensure shared office spaces, including reception and meeting areas, remain organized, presentable, and properly stocked

Support general office coordination tasks, including deliveries, office supplies, and day-to-day operational needs

Assist colleagues with administrative requests and help ensure internal processes run efficiently

Knowledge, Skills and Experience

Previous experience in office administration, travel coordination, facilities support or a related role preferred
