Working as part of the EMEA BYonder Care Team, the Benefits Coordinator is the first point of contact for associate benefit queries across EMEA, with primary responsibility for administering and maintaining Blue Yonder’s benefits programmes in Poland, and providing operational benefits support across several other key EMEA locations.
This role plays a critical part in delivering a consistent, compliant, and positive associate experience, partnering closely with Payroll, external providers, and the wider Benefits team to ensure benefits are administered accurately, on time, and in line with local legislation.

Due to role responsibilities the role is required to be located in Poland and travelling distance to Warsaw as there will be a requirement to action in person benefit processing requirements.
Key Responsibilities:
Act as the primary point of contact for benefit-related queries submitted via the BYonder Care portal, ensuring timely, accurate, and customer-focused responses.
Administer ongoing benefits programmes in Poland, including monthly benefit changes, sports cards, PPK enrolments, and benefits‑in‑kind reporting in partnership with Payroll and external providers.
Manage time-off reporting with external payroll providers.
Own EMEA lease car administration and fuel card processes, ensuring accuracy, compliance, and clear communication with stakeholders.
Support country‑specific benefit administration including:
Italy: time-off reporting and lunch voucher administration
UK: BIK processing, benefits enrolment portals, and eyecare vouchers
Sweden: new hire and leaver processes, annual pension updates
Belgium: annual pension updates
Netherlands: ONVZ administration and monthly pension reporting to Payroll
Coordinate occupational health referrals, including electronic signing and ensuring accurate documentation, and compliance with local requirements.
Maintain accurate and audit‑ready benefit records and documentation to support Payroll and compliance needs.
Calculate and update holiday balances for terminations, transfers, and long‑term absence associates.
Ensure ongoing compliance with applicable country laws and regulations, escalating risks or issues promptly where required.
Partner closely with Payroll to provide accurate and timely benefit data for monthly payroll cycles.
Support the Benefits team on plan changes, benefit initiatives, and continuous improvement activities.
Collaborate with the team to transition and standardise processes, including invoice approval and reporting, to global support models.
Run ad‑hoc HRIS reports, support analysis, and contribute to special projects aligned to the team’s Objectives.
Triage daily enquiries from the EMEA Benefits mailbox, using sound judgement to escalate or redirect queries appropriately.
Knowledge & Expertise:
Experience in a benefits administration or HR generalist role within a multinational or multi‑country environment.
Working knowledge of employer‑sponsored benefits (e.g. healthcare, pensions), fringe benefits, and wellness programmes.
Understanding of cyclical benefits processes and the end‑to‑end employee lifecycle.
Awareness of local legal and regulatory requirements impacting benefits administration.
Strong working knowledge of Microsoft Office, with intermediate Excel skills (e.g. VLOOKUPs, pivot tables).
