Your Responsibilities
We are looking for a new colleague to join our Team in Berlin/Potsdam on a full-time 40 hour a week contract starting as soon as possible.
- Lead and manage the Academic Office / Registry function, ensuring efficient and high-quality delivery of all academic administrative services.
- Oversee the full student lifecycle, including enrolment, record management, academic progression, and graduation processes.
- Develop, implement, and continuously improve university-wide registry strategies, policies, and procedures.
- Ensure effective planning and coordination of teaching schedules, examinations, and assessment processes.
- Support academic governance structures, including servicing examination boards and academic committees.
- Manage and resolve student complaints, appeals, and academic misconduct cases in line with institutional policies.
- Lead the use, optimization, and development of student information systems to support academic operations.
- Ensure accuracy, integrity, and strategic use of student data, including statutory and internal reporting.
- Support quality assurance processes, including accreditation, audits, and programme reviews.
- Ensure compliance with all relevant legal, regulatory, and academic governance requirements.
- Build and maintain relationships with external regulatory and professional bodies where appropriate.
- Collaborate closely with Student Services and other departments to deliver integrated, student-centered services.
- Foster strong relationships with student representatives and support student engagement and governance.
- Lead, manage, and develop the Registry team, ensuring high performance and continuous professional development.
- Drive operational efficiency, risk management, and value for money within the Registry function.
- Lead or contribute to institutional projects, including process improvements and system implementations.
Your profile
- Experience in education administration, learning management systems, and higher education operations is an asset
- Experience in managing records, databases, or client information systems is desirable
- Excellent command of English; additional languages are an asset
- Exceptional accuracy in processing data, tracking progress, and managing documentation
- Commitment to delivering high-quality service in both face-to-face and virtual environments, supporting individuals with empathy and professionalism
- Excellent written and verbal communication skills for interacting effectively with students, colleagues, and cross-functional teams. Able to deliver clear guidance and support on administrative and procedural matters
- Effective team player who can liaise across departments to ensure alignment between academic, administrative, and technical processes
- Advanced proficiency in MS Office Suite, particularly Excel, is an asset
