This is an exciting opportunity to be involved in the Luxembourg entity and become a key member of our team as we continue to substantially grow our business and build out our European operating model.
The role sits within the Regulatory Reporting Team, and the manager is responsible for managing and delivering regulatory reporting obligations, ensuring accurate, timely, and high-quality submissions in line with regulatory requirements and internal policies.
The role provides operational oversight, supports governance and controls, and acts as an escalation point while working closely with internal teams, clients, and regulators.

**Managerial **

Enhance business performance聽by implementing operational improvements and reducing risk.

Manage direct reports, providing guidance and support for team development.

Lead continuous improvement聽initiatives to increase the effectiveness of current processes and the control framework.

Regularly review and update聽internal procedures, workflows, and the聽Gen II鈥揂IFM Master SLA聽to ensure alignment with best practices.
Operational

Oversee all aspects聽of day-to-day operations and service delivery within the Luxembourg Regulatory Reporting Department.

Act as a key escalation point for operational or regulatory issues, ensuring timely resolution and clear communication with stakeholders.

Support continuous improvement of reporting processes to enhance efficiency, accuracy, and consistency.

Support the team聽with all in-scope regulatory filings, ensuring high-quality submissions to various financial regulators and central banks (e.g.,聽AIFMD Annex IV, ADV & Form PF, BCL, and CSSF Statistical and Prudential Reporting).

Ensure timely submission of CSSF reports at PSF level, coordinating with internal stakeholders to gather required information.

Oversee the submission of Approved Annual Accounts to the BCL (Banque Centrale de Luxembourg) , CSSF (Commission de Surveillance du Secteur Financier) , and RCS (Registre de Commerce et des Soci茅t茅s ).

Coordinate with tax advisors to support the collection and submission of tax-related documentation within deadlines.

Support internal and external audits, regulatory reviews, and client due diligence requests.

Work closely with team members, internal departments, and clients to ensure effective collaboration and regulatory compliance.

Prepare and deliver management information and monthly reporting, including key performance indicators (KPIs) to support governance and oversight.

Ensure timely registration of Non-Regulated Investment Funds and Financial Companies with the BCL and monitor Assets Under Management (AUM) and regulatory thresholds to identify applicable reporting obligations.

Collaborate with Senior Officers聽to maintain governance and controls via effective KPIs and metrics, including daily and weekly monitoring of task allocation, fostering strong internal department relationships.

Deliver KPIs to the AIFM in line with agreed timelines, highlight risks and maintain awareness of client-specific requirements and variances.

Continuously review and enhance聽the control environment to improve quality and efficiency for all in-scope tasks and KPIs.

Review Engagement Letters to confirm regulatory reporting scope, fee allocations, and compliance obligations are correctly reflected.

Review vendor invoices, ensuring accuracy and compliance with contractual terms.

Ensure accurate and timely maintenance聽of聽Client & Regulatory Reporting Master Board data, as well as management of all regulatory reporting services contracted
**Project Management **

Drive operational efficiencies聽by leading and implementing business changes in close partnership with the Project Management Team.

Support the analysis and definition聽of future technology requirements to align with business objectives.

Participate in ad hoc reporting projects, actively contributing to the ongoing improvement of internal procedures, and lead calls with internal IT teams, clients, and external vendors.
**Development of others **

Coach and mentor team members聽on regulatory requirements, client activities, and聽Gen II policies and procedures.

Take accountability for team development, including assessing resources and workloads, overseeing recruitment, setting objectives, and managing performance.

Deliver targeted training聽to field staff on regulatory reporting to enhance operational effectiveness.
The ideal background for this role:
Qualifications
- Master鈥檚 or bachelor鈥檚 degree in business studies, Finance, Accounting or equivalent degrees
Experience
-
7+ years of relevant experience in data management and/or regulatory reporting

Performance management, including building out teams and process improvements
Knowledge
-
Good knowledge of Luxembourg corporate laws and structures, (e.g. SOPARFI, SICAR, SIF, RAIF, SLP) and comprehension of the regulatory requirements

Good knowledge of Luxembourg GAAP, IFRS and other relevant accounting standards preferably gained within the real estate or private equity sector, an asset

Familiarity with CSSF, BCL, and AIFMD reporting

Ability to quickly adapt to changes in prioritization, processes and procedures

Excellent interpersonal and communication skills, including contributing to and being part of a strong team spirit

Role Location/Hybrid Schedule
This role is based in our Luxembourg office. Although the nature of most of the roles within Gen II cannot be classed as totally flexible, there is scope in some cases for a form of Agile Working. The different ways in which Agile Working can be undertaken is dependent on the demands and needs of the business, the office space available and the individual鈥檚 preferences and circumstances.
