Job Description
Sr. Executive Administrator
Job Summary

You will be working on highly sensitive and confidential information so are looking for you to be able to demonstrate the highest level of integrity and confidentiality in your role.
This position reports to the Senior Executive Administrator to the CEO, in the US. The role will be located on-site in G’dansk, Poland. Candidate needs to be fluent in English (verbal and written).
Job Responsibilities:
- Manage and maintain a busy calendar and respond to copious meeting requests that require frequent re-prioritization.
- Coordinate comprehensive domestic and international travel arrangements, including flight bookings, ground transportation, hotel accommodations, and detailed travel itineraries.
- Plan and manage internal and external meetings for executives, ensuring all logistical needs are met—such as securing meeting space, coordinating virtual access, and preparing necessary materials.
- Prepare and submit timely and accurate expense reports on behalf of executives, ensuring compliance with company policies.
- Organize and oversee team and company events, handling end-to-end planning and execution to ensure successful experiences for all participants.
- Create and edit presentation materials for executives when needed.
- Handle sensitive business and confidential information with discretion, tact, and diplomacy.
- Embrace unexpected duties or projects.
- With eloquence and poise, act as an ambassador for the executive you support, both company-wide and to external contacts.
- Ability to step in and provide support in different time zones if needed.
- Perform general administrative functions.
Required Qualifications:
- Bachelor’s degree or equivalent experience.
- A minimum of 5 years of progressively responsible experience as an administrative or executive assistant, culminating in at least one position supporting a C-level executive.
- 5 years minimum experience supporting executives on mid-sized but highly critical projects which includes coordinating logistics, meetings, communication, taking and storing detailed meeting notes, organizing onsite and offsite meetings etc.
- 5 years minimum experience in heavy calendar management supporting multiple executives with experience dealing with last minute changes.
- 2 years of Advanced MS Office Skills in particular with:
- MS Excel: Ability to work with large spreadsheets to create specialized reporting. Able to use formulas, pivot tables, look-Up’s etc. Create graphs and charts.
- PowerPoint: Create presentations and slide decks for the executives for presentation.
- Minimum of 4 years’ experience with tracking and processing executive expenses.
- Strong technical competency, specifically with Mac OS and Windows, Microsoft Office Suite and Google apps.
- Excellent verbal and written communication skills in English.
- Strong organizational skills that reflects the ability to prioritize, plan, and perform multiple urgent tasks seamlessly.
- Self-directed: able to determine priorities, make decisions, and manage time well. That said, not afraid to ask questions and for help when needed. Enthusiasm for challenges, comfortable with change, ready to learn.
- An eye for efficiency: constantly engaged in improving results by studying, evaluating, and re-designing processes and then implementing those changes. Excellent attention to detail.
- Works well under pressure, meets deadlines, sees projects through.
- Punctual, courteous, professional, and reliable; possessed of good judgment.
