As the Office Manager at Hawk, you will be the heartbeat of our physical workspaces, ensuring our teams in Munich, Berlin, and London have an exceptional environment to drive the future of AI-powered anti-financial crime. You will manage our daily office operations with a hands-on, service-oriented mindset, blending practical support with a passion for culture to help our team succeed in stopping global financial crime.
Responsibilities
Workplace Operations & Culture
Manage daily office operations in Munich, ensuring a safe, productive, and welcoming environment for all employees and guests.
Organize and execute company events and team-building activities that bring our mission-driven culture to life.
Handle workplace improvements and sustainability initiatives to keep our office running smoothly and efficiently.
Keep offices stocked with supplies, snacks and beverages.
Create and follow processes to improve daily work
Logistics Support
Support with travel arrangements for employees, ensuring practical and seamless logistics for business trips.
Act as the main point of contact for office-related matters, working closely with HR, IT, and Finance teams to solve daily challenges.
Monitor office and pantry supplies, vendor relationships, and facility maintenance to ensure zero downtime for the team.
Requirements
Experience
Solid professional experience in office management, administrative support, or executive assistance, preferably in a fast-paced environment.
Proven ability to handle day-to-day office processes and keep operations organized.
Skills & Communication
Strong organizational skills with the ability to handle multiple tasks and prioritize daily needs effectively.
Fluency in English and a good command of German (B1/B2 level or higher) to communicate with local vendors and facility management.
A proactive, helpful attitude with a focus on finding practical solutions to everyday problems.
