About the Role

The Proposal Specialist is responsible for developing solicitations, requests for proposal, requests for information, requests for quote, and proposals for both direct and indirect channel engagements. In this role, you will coordinate cross-functional teams, manage proposal timelines, and ensure the delivery of high-quality, compelling proposals that align with solicitation requirements and company standards. Your Role Responsibilities — Here's What You'll Do

  • Plan, coordinate, and monitor the development of basic to moderate risk solicitations and proposals; read solicitations to understand advanced technical, functional, and business requirements and parse and assign work to project team members.
  • Organize and lead kick-off meetings with key stakeholders; establish deadlines, set project expectations, and act as liaison between the project team and subject matter experts, working cross-departmentally to track down and confirm information.
  • Manage and oversee the collaboration of work within the project management tool, working on multiple projects simultaneously; ensure projects progress on schedule and are in line with solicitation and company standards, escalating outstanding work as needed.
  • Review, edit, and format final proposal content; coordinate proposal submission via email, bid portal, or hard copy delivery.
  • Assist with updating and maintaining team resources, including internal websites and training materials; provide suggestions and updates to existing proposal content and input on how to improve internal efficiencies.
  • Assist with the training and onboarding of new team members; grow company and product knowledge and stay aware of best practices and market trends.

Role Essentials — What You Bring

  • Bachelor's degree or equivalent experience, with demonstrated success in developing proposals or similar experience and solid facilitation and project management skills.
  • Strong oral and written communication skills that reflect a professional demeanor, with the ability to interact with others with discretion and tact, and strong collaborative skills applied successfully within a team and across other areas.
  • Strong critical thinking and problem-solving skills, with strong business and technology acumen and the ability to thrive in a flexible, fast-paced environment.
  • Proficiency in Microsoft Office applications, primarily Word and Excel, with demonstrated ability to handle sensitive information with discretion and tact.
  • Self-motivated with the ability to complete projects in a timely manner, with the ability to work independently and in a team environment, with up to 10% travel time required.

What We'd Like to See — Preferred Skills

  • Demonstrated experience planning, coordinating, and monitoring the development of solicitations and proposals, including RFPs, RFIs, and RFQs, for both direct and indirect channel engagements.
  • Experience organizing and leading kick-off meetings with key stakeholders, establishing deadlines, and managing cross-functional collaboration to ensure proposals are delivered on time and to standard.
  • Proven ability to manage multiple projects simultaneously within a project management tool, with strong attention to detail and the ability to escalate outstanding work as needed.
  • Experience reviewing, editing, and formatting proposal content, with the ability to coordinate proposal submissions via email, bid portal, or hard copy delivery.
  • Demonstrated ability to influence, motivate, and mobilize team members and business partners, with experience assisting in the training and onboarding of new team members.
