We are looking for a Business Operations Analyst to join us full-time starting asap.
Your Role:
- As a Business Operations Analyst at Xaver, you will operate at the intersection of finance, compliance, and operations - directly supporting the management team in building the operational infrastructure behind a next-generation pension and wealth platform.
- We've spent the last three years building product and winning customers. Now we need someone to help us professionalize the engine underneath - financial systems, governance frameworks, compliance documentation, and the operational models that let us scale without breaking.
- You will take ownership across business-critical topics - from driving our accounting platform migration and supporting our information security buildout, to managing compliance documentation and designing the KPI frameworks that keep the whole team aligned
- Your role will be highly cross-functional: working closely with the COO/CFO, our Legal & Compliance lead, Product, Engineering, and external partners to make sure that decisions actually turn into execution.
- This position offers a unique opportunity to gain full exposure to a fast-scaling B2B FinTech and actively shape how modern pension products are built, sold, and operated at scale.
Your Key Responsibilities:
Finance & Accounting Operations:
- Own the migration and buildout of our financial infrastructure as we scale — you don't need to be an accountant, but you need to be comfortable jumping in, figuring it out, and driving it forward.
- Support financial planning, budgeting, cash flow management, and runway planning.
- Coordinate with external partners (accounting, payroll, tax advisors) and support audit processes.
- Help structure and monitor revenue streams, billing logic, and contract-related financial flows.
Information Security & Compliance:
- Support the buildout of our information security framework — we're handling regulated pension products in a €100bn+ market, so getting this right matters.
- Write, manage, and maintain internal legal and compliance documentation alongside our Legal & Compliance lead — bridging the gap between regulatory requirements and day-to-day operations.
- Contribute to structuring compliance workflows that are robust enough to satisfy regulators and lean enough to not slow us down.
Operational Frameworks & Performance:
- Build and own KPI and OKR frameworks that give the team clarity on what matters and whether we're hitting it.
- Design operational support models that keep cross-functional execution on track as we grow.
- Track key commercial and operational metrics and derive actionable insights to support growth and efficiency.
- Build and maintain business cases for new products, partnerships, and market opportunities as needed.
Cross-Functional Coordination:
- Be the lynchpin between founders, legal & compliance, product, engineering, and external stakeholders — the person who makes sure the threads connect.
- Drive accountability and follow-through across teams, ensuring that strategy doesn't stall between meetings.
- Support the evaluation, onboarding, and management of business and technology partners.
- Jump in wherever you see you can add value. This is an early-stage company and the role will evolve with you.
Your Qualifications:
- Bachelor's degree in Accounting, Business, Finance, Law, Math, Physics or a related discipline. MBA is an advantage.
- 2–4 years of experience in audit, advisory, risk, compliance, consulting, or operational roles within financial services , but honestly, we are open to candidates who can demonstrate a keen desire to work quickly, accurately, and without constant oversight.
- You're the kind of person who sees a messy process and instinctively wants to fix it, document it, and make sure it doesn't break again.
- Analytical prowess, coupled with exceptional problem-solving and organizational capabilities.
- Stellar communication and interpersonal skills.
- A self-driven approach with a fervor for innovation and agility in a dynamic setting.
- Fluency in English, German is an advantage.
